Records and matches claimant telephone reports with operator reports, police reports and supervisors reports. Obtains information from injured parties either in person or on the phone to establish claims. Answers telephone, assists with maintaining files, records, databases, processing mail outs, performs general office and clerical support activities such as types and edits correspondence, scans documents, memos and reports. Copies files involved in litigation, open records requests, subpoenas, etc. Accesses maintenance history in SPEAR to determine DARTs property damage for subrogation. Inputs financial data into RMIS, and processes files for the adjusters. Runs and processes liability claim checks. Prepares and distributes monthly reports. Collects, sorts and distributes section mail to include identifying film received from Transportation Supervisors of accident scene photographs. Maintains message system by tracking staff, answering, screening, and routing incoming calls; if necessary, taking messages; receiving and greeting visitors and guests. Codes and enters third party liability accident informaton into Risk Management Information System (RMIS) and acts as a back up to Subrogation Specialist. Scans and attaches all reports on a daily basis. Responsible for maintaing off-site records, archives and coordinate document requests. Prepares responses to customer service complaints. Other duties as assigned. MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.High school or general education diploma (GED) plus one (1) year specialized, vocational, commercial, or technical training. Three (3) years administrative and clerical experience in an insurance, risk management, claims department or related field to include six (6) months liability claims exposure. Bilingual – Spanish preferred. Analytical skill to gather and interpret data in situations where problems are not difficult or complex. Written and oral communication skills to effectively communicate with all levels, both inside and outside of DART.
