Executive AssistantPosition Summary Under minimal direction, the Executive Assistant (EA)will provide administrative support for Senior and Executive Management.

The EA will be responsible for determining the priority of work and completion of assignments with a proper balance between quality and a commitment to deadlines.

The EA will have frequent communication with other internal departments and staff as well as external contacts, and will be required to maintain good will and provide or obtain information as appropriate.

The position requires a high degree of knowledge of company policies, procedures and systems, competence and administrative skills and will operate with considerable independence.

Work requires some analysis and use of initiative and independent judgment.

The EA will make high level contacts of a sensitive, complex and sometimes confidential nature both inside and outside of the companyKey Job Responsibilities *Manage calendar and itineraries for Executives.

*Coordinate interview schedules with HR department and campus faculty as well as with the candidate.

*Update department calendars.

*Create, compile, prepare, copy and distribute internal and external correspondence, memorandums, forms, mass mailings, agendas, presentation materials, minutes and reports and proofread similar documents prepared by others.

*Organize and consolidate given data which may include confidential, technical information or financials into report format for Executives and management meetings.

*Receive and handle incoming mail and prepare outgoing mail ensuring proper follow up procedures are in place and adhered to.*Receive and screen telephone calls and visitors; retrieve phone mail messages for Executive (if applicable); supply appropriate information when possible, otherwise direct calls or requests to appropriate individuals; ensure all telephone messages are conveyed in a timely manner to the appropriate individuals and respond to all telephone calls in a timely manner.

*Make arrangements for meetings, luncheons, and events and oversee as necessary; arrange for the use of conference rooms or outside facilities as necessary; arrange accommodations and travel when necessary; register Executive for conferences.

*Perform various analytical and/or research special projects; coordinate and complete special assignments and projects as required by Executive Management; and collaborate with various staff and departments in preparing reports.

*Order and organize appropriate materials for reference, distribution and/or filing and ensure that it is properly maintained.

*Welcome new employees, submit IT equipment request, order business cards.

*Prepare any internal forms necessary to process check requests, invoices, overnight mail and/or special expense reports and secure proper approval for processing.

*Compile expense reports for Executives.

Review all expenses from direct reports and independent contractors prior to obtaining Executive approval.

*Calculate monthly accrual for various departments.

*Provide support to other departments on an as needed basis.

Minimum Qualifications *Bachelor's Degree (BA/BS) in business/management/communication or other discipline as deemed acceptable by KHE.*Minimum of 5 years experience in an executive / administrative position.

*The position requires strong knowledge of computers and technology.

*Proven organizational, planning and analytical skills.

*Strong oral and written communications skills.

*Ability to multi-task and adapt to change.

*Excellent people interaction and customer service skills.

*Mature judgment, discretion and ability to maintain confidentiality.

At Coach you will be in great company! Primary Purpose: Responsible for all repair, maintenance and engineering requests for the 516 West 34th Street and 510 West 34th Street office space.

Responsibilities include preventive maintenance, mechanical and housekeeping issues.

This position will report to the Divisional Vice President, Facilities.

The successful individual will leverage their proficiency in Facilities, Maintenance and Engineering toPerform maintenance duties in office space including organizing and maintaining preventative maintenance program for facilities systems (compressor, oil tank, boiler and other equipment).

Responsible for corporate headquarters HVAC infrastructure.

Conduct general trouble shooting and performs mechanical repairs.

Serves as the daily point person for maintenance issues and requests.

Conduct inspections of the building and equipment to determine areas for any needed repairs.

Tracking and ordering of all supplies necessary for the maintenance of the facility.

Assist as requested with deliveries to floors from the outside loading dock center.

Performs minor carpentry repairs including installations of pictures, artwork and bulletin boards.

Assist with minor furniture and equipment moves.

Changing of light bulbs on floors.

Plumbing responsibilities such as fixing leaks in restrooms, faucets, sinks & toilets repairs.

Manage third party contractors, suppliers and landlord representatives.

Coordinate safety and fire drills.

Prepare and analyze the budget including preparation of Capital Expenditure Requests (CER), bid analysis, invoice coding and SAP tracking/usage.

Execute additional tasks as delegated by the DVP, Facilities.The accomplished individual will possessStrong work ethic and the ability to work independently.

7-10 years of facilities experience in a corporate environmentWorking knowledge of HVAC systems, heating, electrical, carpentry and plumbingCertification in HVAC and Boiler operation/maintenance a plus.

Basic knowledge of tools, maintenance work and repairs.

Availability for overtime, as needed, and an excellent prior attendance and punctuality record.

Occasional after-hours and weekend work are a requirement.
